Most South African companies have solved their customer-facing tools well enough. The expensive drag is internal: invoices getting typed into the accounting system, quotes being chased by email, FICA documents going missing, monthly reports that take two days to compile. This is where business process automation (BPA) delivers the largest, quietest returns.
We build AI-powered automations for SA back-office work. Document processing, CRM automation, workflow engineering, and reporting. Below is what we build, who it is for, and what it typically costs.
What we build
Document & invoice AI
Extract line items from invoices, receipts, contracts, and forms. Straight into Xero, Sage, QuickBooks, or your ERP. 95%+ accuracy on structured docs.
CRM automation
Auto-enrich leads, trigger sequenced follow-ups, update pipeline stages, generate summaries. HubSpot, Zoho, Pipedrive, Salesforce, Monday.
FICA & POPIA workflows
Automated document collection, verification, and secure storage for onboarding — with audit logs and consent tracking built in.
Email triage
AI classifies inbound email, drafts first-line responses, routes to the right team, flags urgent items. Works with Gmail and Outlook 365.
Reporting automation
Weekly and monthly reports generated from your CRM, accounting system, and ad platforms. Distributed automatically to stakeholders.
Approval workflows
Quote approvals, expense claims, leave requests, purchase orders — automated routing with Slack or WhatsApp notifications.
How we approach BPA projects
The mistake most companies make with process automation is starting too big. A nine-month "digital transformation" project that covers every department usually delivers less value than four well-scoped three-week projects. We work in the latter pattern.
1. Discovery & triage. One or two working sessions to map your current processes by time-spent and pain-felt. We rank candidate processes by expected ROI.
2. Narrow first build. The highest-ROI process first. Two to four weeks, scoped with fixed pricing. Ships live.
3. Prove, then expand. Two weeks of tuning after launch. Measure results. If the ROI is there (it almost always is on the first process), scope the next one.
This approach means you see real savings within the first month, not twelve months. It also means we can walk away after project one if you do not want to continue — no multi-year retainer lock-in.
Who it's for
BPA delivers clear ROI for SA businesses with:
- A back office that takes real headcount. If you employ two or more people whose job is primarily processing documents, updating systems, or chasing admin, there is usually 30–50% time recovery available.
- Existing digital systems. You use some combination of a CRM, accounting software, and shared drives. If everything is on paper, automation is harder — we start with getting things digital first.
- Documented or documentable processes. Even a rough written description of "how we currently do X" is enough to start. Undocumented tribal knowledge gets clarified as part of discovery.
Sectors where BPA projects typically land: professional services (accounting, legal, advisory, brokerage), property management and rentals, logistics and distribution, medical practice admin, insurance brokerages, recruitment agencies, and mid-sized retailers with structured back-office operations.
What a typical SA deployment looks like
Here is a representative BPA project for an SA accounting firm with roughly 40 SMB clients. Figures are illustrative of a typical project, not a specific named client.
Baseline: three bookkeepers spending an average of 40% of their week (around 16 hours each) capturing invoices and bank statements into Xero. Supplier invoices arrived as email PDFs, photos of paper invoices on WhatsApp, and some via direct Xero bills. Error rate on manual capture: roughly 2% — enough to cause monthly reconciliation pain.
What we built: an invoice-capture pipeline combining document AI for line-item extraction, a confidence-based human review step for anything below 95% confidence, and direct Xero posting with proper VAT and GL coding. WhatsApp intake for client invoice uploads. Slack notifications for items needing review.
Representative results after six weeks:
- Invoice capture time: from ~15 min per invoice to ~45 seconds on average
- Bookkeeper hours recovered: approximately 30 hours per week across the team
- Error rate: dropped from ~2% to under 0.5% (AI + review catches typos humans miss)
- Capacity: the same three bookkeepers could onboard 10+ new SMB clients without adding headcount
- Monthly running cost: around R2,200 in document AI and hosting fees
The R55,000 build paid back in roughly three months on headcount savings, and the capacity gain (taking on more clients) is the bigger longer-term return.
What it costs
Narrow single-process automation. R20,000 to R45,000 one-off. Typical: R25,000–R35,000. Covers one process, one or two integrations, and two weeks of post-launch tuning.
Mid-sized multi-process project. R40,000 to R120,000. Covers two to four processes with shared integrations. Typical six to ten week delivery.
Enterprise-scale program. R150,000+ for multi-department automation with complex integrations, governance requirements, and multiple stakeholder groups.
Monthly running cost. R500 to R5,000 per month depending on volume (document AI charged per page, language model usage per request). We pass these through at cost and add no platform markup.
POPIA, FICA, and compliance
Back-office automations touch the most sensitive data in the business — bank details, ID numbers, credit information, signed contracts. POPIA and FICA compliance is built in from the first line of scope. Standard inclusions: data stored in ZA-region infrastructure with documented processors, role-based access with full audit logs, explicit consent tracking on every personal-information field, retention policies aligned to FICA's five-year requirement, and documented data subject access request (DSAR) handling.
If the automation vendor cannot tell you where a specific document is stored and who has accessed it in the past 30 days, they are not POPIA-compliant.
How to start
A 45-minute discovery call is the fastest way to scope this. We walk through your current back-office workflows, identify where time is actually being spent, and tell you which single process would deliver the highest ROI as a first build. You get a written proposal within a few working days, with fixed pricing and a realistic timeline.
